Applicant Privacy Notice

CIMATRON collects and processes the information that you submit when you apply for a position at CIMATRON ("Personal Data"). This applicant privacy notice ("Privacy Notice") sets out which personal data that we collect and for which purposes it is processed, as well as your rights connected to the processing of your personal data.

Applicant Privacy Notice - CIMATRON

1. Introduction

CIMATRON collects and processes the information that you submit when you apply for a position at CIMATRON ("Personal Data"). This applicant privacy notice ("Privacy Notice") sets out which Personal Data that we collect and for which purposes it is processed, as well as your rights connected to the processing of your Personal Data.

Personal Data” means all types of information that can directly or indirectly identify a live person.

Throughout this Privacy Notice the term "processing" is used to cover all activities involving your Personal Data, including collecting, handling, storing, sharing, accessing, using, transferring and disposing of information.

The “GDPR” is the EU (2016/679) General Data Protection Regulation. It is a regulation aimed to protect the Personal Data of individuals.

2. Purposes for processing your Personal Data

2.1 Administration of the application process and assessment of your skills, qualifications and interests, including information verification

CIMATRON may process your Personal Data for the purpose of administering the application process. This includes processing your Personal Data to assess your skills, qualifications and interests against the particular job you have applied for, as well as take measures to verify that the information you have provided is true and accurate, for example, by means of reference checks. Personal Data processed for these purposes include:

  • Contact information (such as name, address, e-mail address and telephone number)
  • Position applied for and job preferences, how you heard about the position, your willingness to travel if the applied position so requires
  • Information about current employment
  • Education
  • Job experience
  • Formal Qualifications
  • Qualifications (such as language skills, computer knowledge and special skills)
  • Information from personality, psychometric tests and aptitude assessments, including your responses and supplier generated reports and evaluations
  • References
  • Other information provided by you in your Curriculum Vitae and/or personal letter

Your Personal Data is processed based on CIMATRON’s legitimate interests to administer your application, assess your suitability for the position and to verify your information as well as in order to take steps requested by you prior to potentially entering into an employment contract.

Your Personal Data will be processed during the application process. When the application process has been closed, we will store your Personal Data for another nine months or such longer or shorter period permitted in your country in order to exercise, establish or defend a legal claim. Additionally, if you become employed by CIMATRON, we will store your Personal Data during your employment in accordance with the CIMATRON Employee Privacy Notice.

2.2. Conduct background checks

If the position you apply for requires local background checks and, to the extent permitted by local law, CIMATRON will process your Personal Data for the purpose of conducting background checks. Personal Data processed for this purpose includes:

  • Contact information (such as name, address, e-mail address, telephone number)
  • Copy of your criminal record
  • Financial information (e.g. credit checks)
  • References

Your Personal Data is processed on the basis of CIMATRON’s legitimate interest to verify that your background is suitable for CIMATRON's business and the job you have applied for. Moreover, CIMATRON has an interest in verifying the information that you have provided.

Any criminal records processed will be irreversibly erased after CIMATRON has conducted the background check.

2.3. Record keeping and communication of career opportunities

If you give your consent, CIMATRON will also process your Personal Data for consideration with other potential positions within the CIMATRON and keep you informed regarding potential career opportunities that suit your profile. Personal Data processed for this purpose includes:

  • Contact information (such as name, address, e-mail address and telephone number)
  • Position previously applied for and job preferences, how you heard about the position, your willingness to travel if the applied position so requires
  • Information about current employment
  • Education
  • Job experience
  • Formal Qualifications
  • Qualifications (such as language skills, computer knowledge and special skills)
  • References
  • Other information provided by you in your Curriculum Vitae and/or personal letter

Your Personal Data is processed on the basis of your consent. You may revoke your consent in accordance with section 6 below.

The Personal Data processed for the above purposes will be stored for twelve (12) months, calculated from when the application process has been closed. However, CIMATRON will store your Personal Data even longer, if you notify CIMATRON you would like to be considered for other positions within CIMATRON. Such notification shall constitute a renewed consent to the processing of your Personal Data, and CIMATRON will then store your Personal Data for an additional 12 months.

CIMATRON will strive to send you an e-mail reminder at the end of the twelve month period. If you become employed by CIMATRON, we will store your Personal Data during your employment in accordance with the CIMATRON Employee Data Privacy Notice.

2.4. Establish, exercise and defend legal claims

CIMATRON may process your Personal Data for the purposes of establishing, exercising and defending potential legal claims. Personal Data processed for these purposes include the same categories of Personal data as detailed above.

Your Personal Data processed in accordance with this section 2.4 is processed on the basis of a legitimate interest for CIMATRON to establish, exercise and/or defend potential legal claims in the event of a dispute or controversy between you and CIMATRON, related to the hiring process and/or your application.

As explained above, the Personal Data processed for this purpose will be stored until the application process for the position you have applied for is closed (except for background checks which are deleted in accordance with section 2.2 above) and for another nine months or such longer or shorter period permitted in your country in order to exercise, establish or defend a legal claim.

3. Disclosure and transfer of Personal Data

CIMATRON may disclose Personal Data processed for the purposes set forth in section 2 above to other companies within the CIMATRON. Such recipients may be located in countries outside the EU/EEA. To ensure adequate protection of Personal Data when it is transferred (regardless to which country it is transferred) both the sending and receiving CIMATRON entity have entered CIMATRON’s intra-group data transfer agreement. This means that the receiving CIMATRON entity must safeguard the Personal Data, for example by complying with the European Commission´s Standard Contractual Clauses in relation to the data transfer.

Moreover, CIMATRON may share data with external parties such as vendors and service providers that process Personal Data under CIMATRON´s instructions. If and when Personal Data is transferred outside the EU/EEA, CIMATRON will ensure that the European Commission´s Standard Contractual Clauses have been entered into between the CIMATRON entity that transfers the data and the receiving external party. Alternatively, other safeguards will be put in place before such a transfer.

You are entitled to receive a copy of any documentation demonstrating that appropriate safeguards have been taken in order to protect your Personal Data during a transfer outside the EU/EEA regardless of whether it is an intra-group transfer or a transfer to an external party. Transfers in accordance with this section 3 will be done for the same purposes as described above and are based on the same legal ground as is applicable for each respective purpose set forth in section 2 above.

CIMATRON may also provide your Personal Data (such as name, social security number, address and information regarding your income) to governmental authorities for the purposes of complying with legal obligations, for example, in the area of accounting and tax reporting.

4. Your rights

4.1. Right of rectification and access

CIMATRON will take steps in accordance with the GDPR to keep your Personal Data accurate, complete and up-to-date. If you identify that any Personal Data related to you is inadequate, incomplete or incorrect, you are entitled to have the Personal Data corrected.

Further, you also have the right to request access to the Personal Data that we process about you. Such requests should be made to the Privacy Policy page.

4.2. More specifically, you have the below listed rights under the GDPR. All requests should be made to the Privacy Policy page.

a) request confirmation about whether your Personal Data is processed. If so, you have the right to access your Personal Data and additional information such as the purpose of processing. You are also entitled to receive a copy of the Personal Data undergoing processing. If you make the request digitally, the information will be provided in a machine readable format.

b) object based on your particular situation to any processing of your Personal Data based on a legitimate interest of CIMATRON;

c) where Processing was based on your consent, withdraw your consent at any time;

d) under certain circumstances have your Personal Data erased;

e) under certain circumstances, restrict the processing of your Personal Data; and

f) for data portability GDPR requirements, receive a machine-readable copy of the Personal Data processed based on your consent and when the personal data has been provided to CIMATRON by you.

4.3. Complaints to the supervisory authority

You always have the right to file a complaint regarding the processing of your Personal Data to the competent data protection authority in the country where you live, where you are working or where you believe a violation of the GDPR occurred.

5. Contact information

The controller for your Personal Data is the CIMATRON entity that you are applying to and another CIMATRON entity if necessary to further fulfill the above-stated purposes. If you have any questions about who the controller is of your Personal Data, please contact us at cevinpl@pvzngeba.pbz.

6. Revocation of consent

You may at any time revoke any or all of the above consents that you have given CIMATRON pertaining to the processing of your Personal Data.

You may revoke your consent. CIMATRON will cease to process your Personal Data relating to the purposes for which your consent has been revoked and you will receive verification by CIMATRON that your Personal Data no longer will be processed for that purpose.
